Fleet Charging is the access and billing management module in the vaylens platform designed for fleet managers and companies managing EV fleets for their employees.

Fleet managers from these organisations are using vaylens' Fleet Charging module

vaylens’ Fleet Charging module in short

Use the vaylens Fleet Charging module to manage driver access and billing on-site, at home and on the road.

Clear overview of the entire fleet’s charging in one place

Managing fleet charging at depots, drivers’ homes and on public roads can be a logistical nightmare. vaylens puts essential data such as employee IDs, cost centers, mileage tracking and cost monitoring all in one place, so you can easily monitor and manage your fleet's charging sessions across all sites.

Easy reimbursement of charging sessions

Track costs for each fleet vehicle, with all public charging sessions across the vaylens roaming network rolled into one monthly bill. Your employees and visitors can charge wherever they need to: at public chargers, at work with no invoices to handle, or at home, where electricity costs can be submitted for reimbursement.

Simple setup and legal compliance

Guided onboarding for home charging stations via the web, easily handled by the employee or technician — no need to access the employer's portal. Meanwhile, we prioritise legal compliance and ensure that electricity price proofs for home charging are always up to date.

How vaylens’ Fleet Charging module works

Here’s how vaylens’ Fleet Charging module works for the fleet manager when their fleet drivers are charging in public, at the depot or workplace, and at home.

For charging EVs in public

The fleet manager sets up a fleet account in their vaylens platform. Then, the fleet driver logs into the vaylens app (eCharge+) to charge at public EVcharging stations. Finally, vaylens invoices the fleet manager (or employer)for the fleet driver’s public charging sessions.

For charging EVs at work

The fleet manager sets up a fleet account in their vaylens platform. Then, the fleet driver logs into the the vaylens app (eCharge+) for complimentary charging sessions at the workplace.

For charging EVs at home

The employee submits their home electricity price and contract via the vaylens app (eCharge+). vaylens automatically documents all charging sessions and generates monthly receipts for both employees and employers. Employers can easily export a CSV file with reimbursement totals and import it into their accounting system for payouts.

What our customers say about us

"We used to have to bill around 250 customers manually, which was error-prone and made transparency difficult. With vaylens, we no longer need to handle any of the billing ourselves, while our customers can easily verify when, where and how much was billed. It’s a huge step forward for us."

Julian Sauther

Project Engineer, Stadtwerke Speyer GmbH

“Many filling station operators are keen to enter the EV charging market without adding unnecessary complexity. With vaylens’ software, we can provide a solution that integrates seamlessly with their existing systems — delivering transparent billing, flexible tariffs and a charging experience their customers can trust."

Elmar Kühn

Managing Director, UNITI Association of Small and Medium-Sized Mineral Oil Companies

"vaylens is a committed, innovative, and reliable partner who helps us to operate our charging network efficiently while covering all use cases."

FAQs about Fleet Charging

Can I monitor charging costs and energy usage?

Yes — you can track energy usage, costs, and charging status in real time, giving you full visibility over your fleet’s charging operations.

How can I keep track of my fleet vehicles’ sessions away from our workplace or depot?

In the Fleet Charging module, you get full visibility of sessions conducted off-site or on public networks in the vaylens Portal, including cost and usage reporting.

How do my fleet drivers get set up to start charging at home and how are they reimbursed?

New home and workplace chargers are added in the vaylens Portal by the fleet manager; drivers then link their home charger in the vaylens App (eCharge+). Fleet drivers can then charge at home and get automatically reimbursed. vaylens tracks energy usage and tariffs, and payments are sent directly to the employee’s energy provider—no manual claims needed.

Is vaylens' Fleet Charging scalable?

Absolutely — the platform supports fleets of any size, from a few vehicles to hundreds, designed to grow with your operations and ambitions.

How can I make my chargers at the workplace or depot available to employees and visitors using private cars?

You can activate the Community Charging feature: set up a tariff for visitors/private cars on your chargers via the vaylens Portal, and drivers can pay using their app or card.

My company operates charging stations, but we don’t have a fleet manager. Can we still use the Fleet Charging module?

Yes, absolutely. Our interface makes it easy to invite and manage drivers. If you don’t have a dedicated fleet manager, the fleet can simply be managed by another person within your organisation.

How can I be sure how much my employees are paying for their home electricity?

Employees can submit evidence of their home electricity tariff directly in the vaylens app (eCharge+). This information is then available for review by the fleet manager or administrator. Company charging is only enabled once the submitted evidence and reimbursement rate have been approved.

What happens if I have my own EV at home? Can I charge both my private and company car at home?

Yes, you can. Private and company vehicles can be charged at the same location. Only charging sessions that the driver confirms as being for a company vehicle are included in the reimbursement calculation.
